Learner Groups
Organize learners into groups for bulk enrollment, course assignments, and compliance tracking.
Learner Groups let you organize learners into teams, departments, cohorts, or any logical grouping. Use groups to enroll multiple learners at once, assign courses in bulk, and track progress by group.
Note: Learner Groups are available on the Professional and Business plans.
Creating a group
- Go to User Menu → Groups
- Click New Group
- Enter a name (e.g., "Sales Team", "New Hires Q1 2026", "Engineering")
- Optionally add a description and choose a color for visual distinction
- Click Create
Adding learners to a group
- Open the group by clicking on it
- Go to the Members tab
- Click Add Learners
- Select learners from the checkbox list
- Click Add
Learners can belong to multiple groups simultaneously. When a learner is added to a group, they are automatically enrolled in all courses assigned to that group.
Tip: A learner must be registered and approved on your account before they can be added to a group.
Assigning courses to a group
Course assignments let you enroll all group members in a course at once. Future members added to the group will also be enrolled automatically.
- Open the group
- Go to the Courses tab
- Click Assign Course
- Select a course from the dropdown
- Optionally set compliance options:
- Mandatory — mark this as required training
- Due Date — set a completion deadline
- Recertification — require re-completion every N months
- Click Assign
All current group members are immediately enrolled. When new learners join the group later, they are auto-enrolled in all assigned courses.
Removing courses or members
- To remove a course assignment, click the × button next to the course in the Courses tab. This removes the assignment but does not un-enroll learners who are already enrolled.
- To remove a member, click the × button next to their name in the Members tab.
Editing a group
Click Edit on the group detail page to change the name, description, or color.
Deleting a group
Click Delete on the group detail page. This removes the group and all membership/course assignment records. Existing enrollments and learner accounts are not affected.
Use cases
- Departments: "Engineering", "Sales", "Customer Support" — assign department-specific training
- Cohorts: "New Hires March 2026" — onboarding programs for a batch of new employees
- Locations: "Berlin Office", "New York Office" — location-specific compliance training
- Projects: "Product Launch Team" — temporary groups for project-specific training
API access
Groups can also be managed via the REST API and SCIM for automated provisioning from HR systems.
